How to submit referral leads directly through the built-in form or by sharing your referral link

Submitting Leads

There are two ways to create a referral lead in Yipii IoT: the prospect fills out the form themselves after clicking your link, or you submit their details directly from your referral dashboard. Both methods create the same lead record and count toward your referral progress.

Submitting a Lead Yourself

If you have the prospect's contact details — perhaps from a conversation at an industry event, a phone call, or an introduction from a mutual contact — you can submit the lead directly without needing the prospect to fill out a form.

Open the Referrals tab from the Operations view and scroll to the lead submission form. Fill in the following fields:

Click Submit to create the lead. It appears immediately in your lead history table and the sales team is notified.

Hot Leads vs Cold Leads

The Hot Lead checkbox is one of the most important fields on the form, even though it is optional. Marking a lead as "hot" tells our sales team that the prospect has already been introduced to Yipii and is expecting contact. This dramatically changes the sales approach — instead of a cold outreach, the sales team makes a warm follow-up call referencing your introduction.

Mark a lead as hot when:

  • You have already told the prospect about Yipii and they expressed interest
  • The prospect asked you to connect them with us
  • You are submitting the lead immediately after a conversation where fleet tracking came up

Leave it unchecked (cold lead) when:

  • You are sharing someone's details without having spoken to them about Yipii first
  • The prospect might not know you are referring them
  • You want the sales team to make the initial introduction

Hot leads convert at significantly higher rates because the prospect is already primed and receptive. Whenever possible, have a brief conversation with the prospect before submitting their details.

When the Prospect Fills the Form Themselves

If you share your referral link (via WhatsApp, email, or direct copy) and the prospect clicks it, they land on a lead capture form on the Yipii website. The form displays a personalised message showing your name and company, so the prospect knows who referred them.

The prospect fills in the same fields listed above. When they submit, the lead is automatically linked to your referral code, and you receive an email notification confirming the submission.

This approach works well when you do not have the prospect's full details or prefer them to express interest on their own terms. Sharing the link is lower friction for you, but submitting the lead yourself typically results in higher quality leads because you have already qualified the prospect through conversation.

Lead Statuses

Once a lead is submitted, it progresses through a series of statuses. You can track every lead's current status in the lead history table on your Referrals dashboard.

You receive an email notification at every status change, so you always know where your leads stand without needing to check the dashboard.

When Does a Lead Become "Won"?

A lead is marked as Won only after the referred business has signed up for a Yipii IoT subscription and has been an active paying customer for at least one month. This minimum period ensures that the referral represents a genuine, sustained business relationship rather than a trial that was immediately cancelled.

Once a lead is Won, a reward is generated automatically based on your current tier. The reward appears in your pending rewards section on the referral dashboard.

Yipii IoT keeps you informed at every step of the referral lifecycle through email notifications:

All notifications are sent to the email address on your Yipii IoT account. They include a link back to your referral dashboard so you can review the details.

Helping Close the Sale

Your involvement does not have to end when you submit the lead. In fact, your continued engagement can significantly increase conversion rates. Here are practical ways to help:

Make an introduction. If the prospect agrees, arrange a three-way email introduction between them and the Yipii sales team. This personalises the outreach and gives the sales team a warm opening.

Share your experience. When the prospect asks "Is it actually worth it?", your honest experience as a current customer carries more weight than any sales pitch. Offer to answer their questions about real-world usage, setup time, and return on investment.

Offer a tour. If the prospect is local, invite them to see Yipii running on your fleet in person. Seeing a live dashboard with real vehicles is one of the most effective conversion tools available.

The more you help close the sale, the faster your leads move from Submitted to Won — and the sooner you earn your reward.
