Navigation Guide

Learn how to navigate the Yipii Mobility dashboard using the sidebar, header bar, search, and team switcher

Navigation Guide

Yipii Mobility uses a sidebar-based navigation system with a command palette for quick access to any page. Understanding the layout helps you work efficiently across all fleet management features.

The sidebar is organised into clearly labelled groups. Each group contains feature links, and several items expand to reveal sub-items when clicked. Top-level items follow a consistent pattern: daily-driver activity sits up top so it's a single click away, while setup and admin sections live further down.

General

Top-level items used by most roles every day:

  • Dashboard — Fleet overview with stats, attention items, and quick actions
  • Reports — Dedicated reporting section for fleet-wide data
  • Assets — Vehicle and equipment management
  • Site Locations — Sites, depots, customer addresses with map view
  • Drivers — Driver profiles, assignments, scorecards
  • Users — Team-member management (Admin only)
  • Tasks — Actionable items for your team — list or Kanban board view

Fleet Management

Operational sections grouped under expandable submenus.

Devices

  • Devices — GPS trackers and hardware units
  • Device Models — Supported hardware models
  • SIMs — SIM card inventory and status

Utilization

A direct link (no submenu) to fleet utilisation metrics and insights.

Operations

The maintenance pipeline grouped into one submenu:

  • Issues — Defects and problems found on assets; promote to a work order when ready
  • Work Orders — Repair and maintenance tasks (table or Kanban view)
  • Inspections — Vehicle inspection forms, results, and templates
  • Diagnostics — DTC codes and IoT-reported diagnostic events
  • Recalls — Manufacturer recall tracking

Service Library

The recurring-maintenance setup shelf — narrative is "schedule when, define what, bundle into kits":

  • Service Schedules — Recurring service intervals (when)
  • Service Tasks — Atomic reusable maintenance tasks like Oil Change (what)
  • Service Kits — Pre-defined parts + labor bundles for fast WO-fill

Activity

Daily-driver actions split off from setup so neither group has too many items:

  • Time Tracking — Personal clock in/out
  • Fuel Logs — Fuel purchase records (manual + auto-detected)
  • Expenses — Cost tracking for fleet operations

Procurement

  • Purchase Orders — Order tracking and management
  • Parts — Spare parts inventory
  • Vendors — Supplier directory

Compliance

  • Documents — Document storage with expiry tracking
  • Licenses — License management with renewal alerts
  • Warranties — Warranty coverage records

Time & Payroll

Admin-only payroll surfaces:

Timesheets

  • Review Entries — Every user's clock entries with filters, map view, bulk approve/reject, CSV export
  • Pay Periods — Lock approved entries into payroll runs and download provider-ready CSV
  • Pay Profiles — Per-employee hourly rate, overtime, breaks, payroll codes

System

Admin-only configuration surfaces:

Automations

  • My Automations — Tenant-owned workflow rules

Account Area

At the bottom of the sidebar your email is displayed alongside account actions. The organisation name button at the top of the sidebar (e.g. "yipii-demo") opens the team switcher for users who belong to multiple organisations.

Header Bar

The top header bar provides quick-access controls that are always visible on every page:

  • Toggle Sidebar — Collapse the sidebar to icon-only mode or expand it back to full width. Your preference persists across sessions.
  • Search — Opens the command palette (same as Cmd+K / Ctrl+K). Click the search input to type, or use the keyboard shortcut from anywhere.
  • Clock In — One-click button to start a time-tracking session without navigating away from your current page. When clocked in, the button shows elapsed time.
  • Theme toggle — Switch between light, dark, and system themes.
  • AI Assistant — Toggle the Yipster AI slide-in panel for conversational fleet assistance.

A breadcrumb trail appears at the top of the content area (for example, "Home → Drivers") showing your current location in the navigation hierarchy. Click any breadcrumb segment to jump back to that level.

Role-Based Menu Filtering

The sidebar automatically hides items you do not have access to based on your fixed role. Yipii Mobility uses seven fixed roles:

RoleTypical Visibility
AdminAll sections, including Users, Automations, AI Admin, Developers, Time & Payroll
Fleet ManagerAll operational and compliance sections plus Time & Payroll (no Users / AI Admin / Developers)
Office Staff (User)Dashboard, Assets, Tasks, Operations (Issues / Work Orders / Inspections), Activity (Fuel / Expenses), Procurement (Parts), most lists read-write
Reports OnlyDashboard, Reports, basic asset / WO lists
MechanicDashboard, Assets, Tasks, Work Orders, Inspections, Service Library, Procurement, Time Tracking, Fuel Logs
InspectorDashboard, Assets, Tasks, Issues, Inspections, Time Tracking
DriverDashboard, Assets (assigned), Work Orders (assigned), Time Tracking, Fuel Logs

If a sidebar item is not visible, contact your organisation administrator to adjust your role.

Command Palette (Cmd+K)

Press Cmd+K (macOS) or Ctrl+K (Windows/Linux) to open the command palette. It provides instant access to:

  • Quick Create — Create a Work Order, Expense, Fuel Log, Inspection, Issue, or Task without leaving your current page.
  • Page navigation — Type any page name (e.g. "Work Orders", "Service Kits") to jump directly to it.
  • Recent items — Quickly revisit assets, work orders, or inspections you have accessed recently.
  • Theme switching — Switch between Light, Dark, and System themes.

The command palette searches across all sidebar items and sub-items. Type a few characters and select the result to navigate instantly.

For the full list of keyboard shortcuts and command palette actions, see Shortcuts & Command Palette.

Keyboard Shortcuts

Common keyboard shortcuts let you navigate and perform actions without reaching for the mouse. Press ? from any page to view the full shortcut list. See Shortcuts & Command Palette for the complete reference.

Floating Action Button

A floating + button appears in the bottom-right corner of the screen on most pages. Tapping it opens a menu of common create actions (New Work Order, New Issue, New Task, New Expense, New Fuel Log, New Inspection), giving you quick access without navigating away from your current page.

Saved Views

Most list pages support saved views — pin filter, sort, and search combinations under a name and recall them in one click. The saved-view selector lives in the toolbar of every list page. See Saved Views for the full lifecycle.

Team Switcher

If you belong to multiple organisations (tenants), click your organisation name at the top of the sidebar to open the team switcher. This displays all available teams and lets you switch context between them.

Switching teams reloads the dashboard with data from the selected organisation.

Notifications Banner

An "Enable Notifications" banner may appear at the bottom of the screen if browser notifications have not been granted. Enabling notifications ensures you receive real-time alerts for work orders, service reminders, and other fleet events.

Settings Navigation

Settings pages are accessed through your profile menu or by navigating directly. The settings section includes:

  • General — Organisation-level settings
  • Profile — Your personal profile information
  • Asset Types — Manage asset type categories
  • Asset Subtypes — Manage asset subtype categories
  • Plans — View and manage your subscription plan
  • Billing — Billing information and invoices
  • Integrations — Third-party integrations
  • Notifications — Notification preferences

Mobile Navigation

On smaller screens, the sidebar collapses into a hamburger menu. Tap the menu icon in the top-left corner to open the sidebar as an overlay. All the same navigation items are available on mobile, including expandable submenus and the team switcher. The floating action button remains accessible in the bottom-right corner for quick record creation on the go.
