Get up and running with Yipii Mobility in minutes

Quick Start Guide

Welcome to Yipii Mobility! This guide walks you through your first session -- from logging in to creating assets, work orders, and exploring the platform's key features.

Step 1: Log In

  1. Navigate to your Yipii Mobility dashboard at mobility.yipii.io.
  2. At the top of the login page, select the Mobility tab (the IoT/Mobility toggle lets you switch between the two platforms).
  3. Enter your email and password, then click Sign In.

You also have the following sign-in options:

  • Sign in with PIN -- If your organization has issued you a numeric PIN, click "Sign in with PIN" and enter it instead of a password.
  • Google SSO -- Click the Google button to sign in with your Google account.

If you do not have an account yet, contact your organization administrator or sign up for a new account. Links to the Terms of Service and Privacy Policy are available at the bottom of the login page.

Step 2: Understand the Dashboard

After logging in, you land on the main dashboard. It greets you with a time-aware message such as "Good morning" or "Good afternoon", followed by a summary of your fleet's current status.

Clock In Banner

If you have not clocked in for the day, a prominent banner appears at the top prompting you to start your time tracking session. Click Clock In to begin -- no need to navigate to a separate page.

Stats Cards

Two summary cards provide at-a-glance metrics:

  • Open Work Orders -- Shows the count of pending work orders and how many were completed in the current period.
  • Monthly Spend -- Displays total expenses in EUR for the current month with a percentage change compared to the previous month.

Each card is clickable and takes you directly to the relevant page.

Quick Actions

A row of shortcut buttons lets you perform common tasks without leaving the dashboard:

Role-Based Views

Your dashboard adapts based on your assigned role. Yipii Mobility supports seven roles:

Step 3: Learn the Navigation

The sidebar is organized into clearly labeled groups:

General -- Dashboard, Reports, Assets, Drivers, Users, Time Tracking

Fleet Management -- Devices (with sub-items for Device Models and SIMs), Utilization, Maintenance (Work Orders, Service Schedules, Diagnostics, Recalls, Expenses, Fuel Logs, Inspections), Procurement (Purchase Orders, Parts, Vendors), Compliance (Documents, Licenses, Warranties)

System -- Automations, AI Admin

Growth -- Referrals

Yipii Shop -- Purchase Devices, Refer and Earn

The header bar provides quick-access controls that are always visible:

  • Search (Cmd+K / Ctrl+K) -- Opens the command palette for instant navigation
  • Clock In -- Start a time tracking session from any page
  • Theme toggle -- Switch between light and dark mode
  • AI Assistant -- Open the Yipster AI panel for conversational fleet assistance

Step 4: Create Your First Asset

  1. Navigate to Assets -- Click Assets under the General section in the sidebar.

  2. Click "Create Asset" -- Find the button in the top right corner.

  3. Fill in Asset Details

    • Name -- Give your asset a descriptive name (e.g., "Delivery Van #1")
    • Type -- Select the asset type (Vehicle, Equipment, Trailer, etc.)
    • Subtype -- Choose a more specific category
    • Custom Fields -- Add additional information like VIN, license plate, or serial number
  4. Upload Photos (Optional) -- Add photos of your asset. The asset list shows photo thumbnails for quick visual identification.

  5. Save -- Click "Create" to save your first asset.

After creation, the Assets page displays stats cards for Total Assets, Active, With Reference, and Categorized. Assets that are linked to an IoT tracking device show a link indicator badge.

Step 5: Assign a Tracking Device

If you have GPS trackers or IoT devices:

  1. Go to Fleet Management > Devices > Devices in the sidebar.
  2. Find your device by IMEI or serial number.
  3. Click "Assign to Asset".
  4. Select the asset you created in the previous step.
  5. Save the assignment.

Your asset will now show real-time location data on the map, and the IoT link indicator will appear on the asset in the Assets list.

Step 6: Create a Work Order

  1. Navigate to Work Orders -- Go to Fleet Management > Operations > Work Orders in the sidebar, or use the Work Order quick action button on the dashboard.

  2. Click "Create Work Order" -- Start a new maintenance task.

  3. Enter Work Order Details

    • Title -- Describe the work (e.g., "Oil Change - Van #1")
    • Asset -- Select the asset this work order is for
    • Priority -- Set urgency (Low, Medium, High, Critical)
    • Assigned To -- Choose who should complete the work
    • Due Date -- Set a deadline
  4. Add Parts and Labor (Optional) -- Track costs by adding:

    • Parts used with quantities and prices
    • Labor hours with hourly rates
    • Additional expenses
  5. Save and Track -- Click "Create" to start tracking the work order.

Step 7: Explore Key Features

Now that you have created your first asset and work order, explore these features:

Inspections

Create digital checklists for vehicle inspections with pass/fail items and photo requirements. Navigate to Fleet Management > Operations > Inspections.

Time Tracking

Clock in and out from the dashboard banner or the header bar button. GPS verification ensures accurate work hour tracking. Navigate to General > Time Tracking.

Service Schedules

Set up recurring maintenance based on mileage, engine hours, or calendar intervals. Navigate to Fleet Management > Service Library > Service Schedules.

Diagnostics

View vehicle diagnostic trouble codes (DTC) and connection health. Navigate to Fleet Management > Operations > Diagnostics.

Utilization

Monitor how effectively your fleet is being used with utilization metrics. Navigate to Fleet Management > Utilization.

Reports

Generate reports for fuel consumption, maintenance costs, utilization, and more. Navigate to General > Reports.

Automations

Set up automated workflows triggered by fleet events such as overdue services or expiring documents. Navigate to System > Automations (Admin only).

AI Assistant

Open the Yipster AI panel from the header bar to ask questions about your fleet in natural language -- for example, "Show open work orders" or "Which vehicles need service soon?"
